AutoCerts
Automate Certificates, Documents & Mail Merge from Google Sheets™
Automate Certificates, Documents & Mail Merge from Google Sheets™
For Google Sheets™ & Gmail™
AutoCerts Certified add-on that automates document generation and email campaigns directly from your spreadsheet data.
Key Features:
Automated PDF Generation: Convert rows from Google Sheets into customized PDF documents efficiently.
Email Campaigns: Send personalized emails populated with your spreadsheet data.
QR code: Embed unique, dynamic QR codes into each generated document and email for instant validation.
Native Integration: Built to operate securely and seamlessly within the Google Workspace environment.
📄 Section A: Certificate Automation Engine (Docs & Slides to PDF)
1. Native Multi-Format Rendering
The engine dynamically processes and converts files directly within the Google ecosystem. Link your own Google Slides™ presentations or Google Docs™ files, or utilize our predesigned frameworks. The system perfectly preserves original typography, margins, and layout during PDF export.
2. QR code system
Generates and embeds vector QR codes with maximum error correction (ECC Level H). Configure scan behaviors: display a digital validation card, redirect to an institutional URL, link to LinkedIn profiles, or open the PDF directly in Drive. Supports customization of brand colors, corner radii, and center initials.
3. Traceability & Sequential Folio Numbering
Control unique identifiers for every issued document. Define prefixes, starting numbers, and alphanumeric suffixes (e.g., CERT-001-2026). The engine automatically calculates the increment and writes the exact folio into a designated spreadsheet column for auditing and record-keeping.
4. Real-Time Triggers (Google Forms™ Integration)
Transform manual issuance into a continuous 24/7 workflow. By activating the Event Trigger, the system listens for new Google Form submissions and executes certificate generation and delivery in the background, requiring zero human intervention.
5. Batch Consolidation (Merged PDF)
Optimized for massive physical printing operations. Instead of handling hundreds of individual files, the engine compiles all certificates processed during the session into a single, continuous PDF document with automatic page breaks.
✉️ Section B: Advanced Mail Merge Engine
1. HTML Composition Editor & Dynamic Mapping
Draft communications using a rich text editor (WYSIWYG) that supports variable injection. Any column in your spreadsheet can be invoked using tags (e.g., {{FirstName}}, {{Score}}) to dynamically personalize the subject line and email body for each recipient.
2. Google Drive™ Attachment Injection
Assign a specific Google Drive folder to link and attach files to your campaign. Furthermore, the engine integrates seamlessly with the certificate generator to automatically attach the personalized PDF to each participant without depleting your local storage quota.
3. Deferred Execution (Cron Scheduling)
Schedule campaign launches for precise future dates and times. The system registers the instruction and executes the batch using Google's background servers, allowing you to safely close your browser or turn off your computer.
4. Conditional Filtering Logic
Segment your contact list prior to execution by evaluating logical rules row-by-row. Configure mathematical or text operators (e.g., >=, ==, CONTAINS) to issue documents or emails exclusively to records meeting the exact criteria (e.g., Grade >= 70 or Status == Approved).
5. Telemetry & Status Logging
Monitor the execution lifecycle directly within the spreadsheet. The Add-on creates and updates dedicated columns to record delivery statuses (✅ Completed, ❌ Error, ⏳ Queued), exact Timestamps, and direct URLs to the generated PDF files, row by row.
⚙️ Workflow: How the Architecture Works
Step 1: Database Configuration (Data Mapping)
Open your Google Sheet, select the tab acting as your database, and define structural parameters: the header row, the data starting point, and the target email address column.
Step 2: Asset Linking
Connect the resources stored in your Google Drive. Link the base template (Docs™ or Slides™) the engine will use for rendering, and select the output directory where the generated PDF files will be deposited.
Step 3: Deploy & Track
Initiate the execution using the mode that best suits your data volume:
On-screen Modal: For live tracking of short lists.
Background Processing: To delegate massive workloads to Google servers and receive a detailed summary report in your inbox upon completion.
